The Root and Scalp Spa ("we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to our website, to the gift card and partner-welcome claim forms we operate, and to our SMS text messaging program.

Information we collect
We collect information you provide directly to us, including your name, phone number, email address, and appointment details when you book a service, join our client list, claim a gift card or partner welcome card, or contact us. When you claim a gift card or partner welcome card, we also record which consultant, partner, or friend referred you (an attribution code in the link) so we can credit your referral correctly.
We do not collect payment information through the claim form. If you purchase a gift card directly, payment is processed by our third-party payment processor and is subject to their privacy practices.
How we use information
- To schedule and manage your appointments, and to send appointment confirmations and reminders.
- To activate your gift card and attribute it to the consultant, partner, or friend who referred you.
- To create and manage your appointment and client record with our booking provider.
- To credit the referring consultant or partner under our referral program.
- To share promotions, updates, and educational content about our services — only if you've opted in.
- To improve our services and client experience.
How we may contact you
We use the phone number you provide to help with your gift card or appointment. If you have not booked an appointment after activating your card, a team member may call you to help you schedule. We send marketing or promotional text messages only to clients who have expressly opted in to receive them.
SMS text messaging
Consent. You may opt in to receive text messages from The Root and Scalp Spa by providing your phone number and checking the SMS consent box on our booking or signup forms — including the gift card activation form (at therootandscalpspa.com/gift-card) and the partner activation form (at therootandscalpspa.com/partner-activation) — or by otherwise expressly agreeing in writing or in person. Consent is not a condition of purchasing any services or products.
What we send. If you opt in, we may send you: appointment confirmations and reminders, gift card activation and booking messages, account or service updates, and — only if you have opted in to promotional messages — offers, promotions, and educational content about our services.
Frequency. Message frequency varies based on your interactions with us and any promotions you opt into.
Cost. Message and data rates may apply, depending on your mobile carrier and plan.
How to opt out. You can stop receiving text messages from us at any time by replying STOP to any message we send. You will receive a single confirmation message and no further texts unless you opt back in. To re-subscribe later, reply START.
How to get help. Reply HELP to any of our text messages to receive contact information. You can also email info@therootandscalpspa.com or call (512) 881-2799 with any questions about your messages.
Carriers. Carriers are not liable for delayed or undelivered messages.
Privacy of your phone number. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. Your phone number and the fact that you have opted in to SMS are stored only for the purposes described in this Privacy Policy. We do not share, sell, or transfer phone numbers or SMS opt-in data to any third party for their own marketing or promotional purposes. Our service providers (booking platform, database, messaging delivery vendor) process this data solely to deliver the messages you have requested.
How we share information
We share your information only with service providers that help us operate the gift card flow — our booking platform, our database/hosting provider, and our automation provider — and only as needed to deliver the service you requested. We do not sell your personal information, and we do not share your phone number with third parties for their own marketing purposes. We may disclose information if required by law.
Data security
Your information is stored in a secured database with access controls. While no system is perfectly secure, we take reasonable measures to protect your data and limit access to those who need it to operate the service.
Your choices
You may opt out of text or email communications at any time by replying STOP to a text, unsubscribing from an email, or contacting us directly at (512) 881-2799. You may request that we delete the contact information you submitted by emailing info@therootandscalpspa.com. Deleting your information may prevent us from delivering or honoring an outstanding gift card. To stop follow-up calls, ask the team member who calls you, or email us at the address above.
Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent change. Material changes will be posted on this page.
